AI invoice coding: suggest GL accounts and cost centers from past entries

Suggest GL accounts and cost centers from previously coded invoice rows. Train on reviewed entries, measure accuracy and keep approval in your finance workflow.

By Manoj Mohandas ·

Start after the invoice has become rows

An accounts-payable team may already receive invoice data from an ERP export, supplier spreadsheet or document-processing system. The remaining work is choosing the GL account, department or cost center for each line. That repeated classification is where a trained model can help.

StayCharted is not an invoice extraction or accounting system. Start with text fields already available in rows. If an invoice arrives as a PDF, use your existing extraction process before sending the relevant line data for classification.

Available input Decision to learn Useful context

The correct accounts depend on your organization's chart of accounts and policies. Use your own approved codes rather than generic examples copied from another business.

Prepare a file of approved coding decisions

Export previously reviewed lines with the descriptions and context a new line will have. Include the final approved account as the answer. If cost center depends on the requesting department, include that department; do not expect the model to recover information absent from the input.

Keep corrections, credit notes and unusual transactions identifiable during review. Standardize category names so an old account alias and its current name are not treated as unrelated answers. If accounting policy changed, decide which examples still reflect current policy before training.

Avoid using a supplier name as the only input when that supplier sells many different things. Two purchases from the same supplier can belong to different accounts. Conversely, random invoice identifiers rarely explain an accounting category.

Review the file for personal information and unnecessary bank or payment details before upload.

Train, compare and fill new invoice rows

  1. Upload reviewed rows and choose the input fields and answer column.
  2. Check duplicate examples, inconsistent answers and data quality warnings.
  3. Train a model and examine held-out results by category. Look closely at rare accounts, not only the average.
  4. Try a fresh batch that was not used for selecting settings. Compare suggestions with the finance team's decisions.
  5. Fill new rows in a file or Google Sheet, or send records through the API from your existing workflow.
  6. Have reviewers approve the output before posting. Record their corrections for a later training version.

Start with one output, such as GL account. Where your task needs several fields together, evaluate the complete answer combination rather than assuming that good account accuracy means good cost-center accuracy too. See finance classification workflows.

Measure the cost of errors, not just average accuracy

Some mistakes are quick to correct; others can affect financial reporting or require additional approval. Let that difference inform the review policy. A confidence score helps prioritize checks, but it is not proof that an entry complies with accounting or tax policy.

During a pilot, keep a record of the suggested account, the approved account and the reason for correction. Check whether recurring errors come from missing context, ambiguous account definitions or a change in business activity.

Start with recommendations rather than automatic ledger posting. StayCharted returns category suggestions; your ERP, finance controls and approvers remain responsible for applying them. You can increase automation for well-tested cases while keeping exceptions and policy-sensitive entries under review.

A useful first success is a smaller, better-prioritized review pile—not a promise to remove every coding decision from finance.

Common questions

Can AI assign GL codes to invoice lines?

A classifier can suggest GL codes from previously approved examples and the context available for each new line. Evaluate it against your chart of accounts and keep posting subject to your finance controls.

Does StayCharted extract invoice PDFs?

This workflow starts with already-extracted or exported rows. Use your existing document-processing system for extraction, then classify the selected fields in StayCharted.

Can it suggest both an account and a cost center?

You can model each decision separately or use the product’s multi-field answer format. Test the complete output and include the context each decision needs.

Will it post entries into our accounting system?

StayCharted supplies suggestions. Your integration and approval process control updates to the accounting system.
