How SharePoint resellers, VARs and MSPs can put AI to work

Help customers model repetitive tasks with StayCharted AI Model Trainer. A practical AI adoption approach for SharePoint resellers, VARs and MSPs.

Help customers adopt AI around a specific job

For SharePoint resellers, value-added resellers (VARs), managed service providers (MSPs) and Microsoft 365 consultants, helping customers adopt AI takes more than enabling another feature. The useful question is: which recurring decisions can AI help this customer make?

Partners are well placed to answer it. They understand how customers organize information, manage access and approve changes. They see the tasks people repeat: assigning access to a new site, choosing groups for a new starter, routing a request or categorizing a document.

StayCharted AI Model Trainer gives partners a way to turn that knowledge into a working model. Train it on examples of decisions the customer has already made, measure its performance on examples held back from training, and connect its answers to the customer's workflow.

The starting point is a specific job, with examples and an outcome people can check.

Start with SharePoint access and file permissions

Every SharePoint rollout involves decisions about access. A new project site needs the right groups. A new file needs appropriate permissions. A new employee needs access that fits their responsibilities.

Customers often have a history of these decisions. Partners can help them use that history as training examples.

Consider a customer creating sites for new client projects. Their previous projects show which teams received access and at what level. A partner can help train a model to suggest access for the next project, using the information available when that decision is made.

Repetitive task What the model learns from How the partner puts it to work
Suggest access for a new project site Previous site descriptions and approved access assignments Present suggested groups and access levels for approval
Suggest permissions for a new file File information and past permission decisions Add suggestions to an existing approval workflow
Suggest groups for a new starter Relevant onboarding information and approved group assignments Give administrators a starting point to review
Route access requests Previous requests and the teams that handled them Send new requests to the appropriate review team

This can reduce the manual work around deployment and access setup. The partner supplies the integration and operational process; StayCharted supplies model answers and confidence scores.

A model's suggestion is not authorization. Partners should help customers check their training history, remove inappropriate examples and approve any suggestion that would widen access. Automation should follow the customer's access policies.

Turn one implementation into a practical AI adoption program

Access management can be the first useful project. The same approach can extend to other recurring decisions across the customer's business.

A finance team repeatedly assigns invoice categories. A service team routes requests. An operations team categorizes inspection photos. A customer-facing team chooses from approved reply types.

These tasks have something in common: people have already produced examples of what a good answer looks like. A partner can help identify those examples, clarify inconsistent categories and decide what the model should return.

Customer team Examples they already have A task to model
Finance Invoice lines with approved coding Suggest GL accounts and cost centers
IT and service operations Requests with their assigned queues Categorize and route new requests
Document operations Records with agreed document categories Apply the customer's categories to new records
Customer service Messages paired with approved reply types Select which existing reply type to use
Inspection teams Photos and notes with recorded outcomes Categorize new inspection findings

For each task, the customer defines the categories and the partner helps make the workflow usable. StayCharted learns from labeled examples rather than relying on a general-purpose assistant to infer the customer's rules from a prompt.

Make the first project small enough to measure

A strong first project has a clear boundary. “Introduce AI across the business” is difficult to evaluate. “Suggest the review team for incoming access requests” gives everyone something concrete to test.

  1. Choose a recurring decision. Identify a task with clear answers, usable historical examples and a person who can judge whether an answer is right.
  2. Prepare the examples. Check labels, duplicates and outdated decisions. For permission workflows, verify that the history reflects the access policy the customer wants to follow.
  3. Train and measure. Review performance on examples the model did not train on, including results by category and the mistakes it made.
  4. Connect the workflow. Use files or the API to return answers where the customer works. For SharePoint, Power Automate can connect model suggestions to a review and application process.
  5. Review and improve. Correct mistakes, add useful examples and retrain as the customer's work changes.

Confidence scores help teams choose what to check. They do not guarantee correctness, and performance on new work can differ from test results.

For API answers below the model's review cutoff, StayCharted's Review Queue is available on Essentials and Business. Partners should choose where review happens so the customer does not end up checking the same item in two systems.

Give each customer their own workspace

Partners often support several customers with different categories, data and approval processes.

StayCharted supports multiple workspaces under one account, so a partner can organize each customer's examples, models and work in a dedicated workspace. Membership and roles control workspace access, and plans and allowances apply per workspace.

If a customer requires complete schema isolation, a separate account is an option.

That structure lets partners reuse their implementation knowledge while keeping each customer's models specific to that customer. A model trained for one organization's access decisions should not be treated as the policy for another.

Build services around outcomes customers can see

The partner's contribution extends beyond training a model. Customers need help deciding what to model, preparing reliable examples, connecting systems and establishing a review process.

For resellers and VARs, this can extend an implementation engagement into workflow design and integration. For MSPs, it can support an ongoing service that reviews results and maintains models as customer needs change.

  • Workflow assessment: find repetitive decisions that are suitable for modeling.
  • Data and category preparation: turn past work into consistent training examples.
  • Implementation: connect model answers to SharePoint and other business systems.
  • Governance and review: define who approves changes and how exceptions are handled.
  • Ongoing improvement: review mistakes and update models as the customer's processes evolve.

Success can be measured in terms the customer understands: fewer manual routing decisions, less time preparing access assignments, a manageable review workload and fewer corrections after processing.

Partners should establish a baseline and measure these outcomes during the pilot rather than assume a model will improve every task.

A meaningful way to help customers embrace AI

SharePoint partners already help customers organize work and control access to information. StayCharted adds a way to model the decisions inside those workflows.

Start with something the customer does repeatedly. Learn from their approved examples. Test before relying on the model. Connect the answers to their systems, with people reviewing the cases that need judgment.

That gives AI adoption a clear purpose: let the model handle repeatable decisions so people can spend more time on exceptions, improvements and customer work.

Questions from SharePoint resellers, VARs and MSPs

How can SharePoint resellers, VARs and MSPs use StayCharted AI Model Trainer?

Partners can help customers train models on past decisions, such as file-permission assignments, group membership or request routing. They can then connect model suggestions to customer workflows through files, the API or Power Automate.

Does StayCharted apply SharePoint permissions itself?

No. StayCharted returns suggestions. The partner’s or customer’s integration applies approved changes in SharePoint. Suggestions that widen access should be reviewed before application.

Can a partner manage multiple customers?

Yes. A partner can use multiple workspaces under one account, with a workspace for each customer. Separate accounts are available when complete schema isolation is required.

What makes a good first AI project for a managed service provider?

Choose a frequent, well-defined task with labeled historical examples and a way to check the answer. Start with a limited workflow, measure model performance and review workload, and expand based on the results.

Is this limited to SharePoint permissions?

No. The same approach can support document categorization, request routing, invoice coding, approved reply selection and image classification. Each model needs examples relevant to its task.
